Missed Call Text Back for Tradesmen: Why a Text in Minutes Beats a Call Back Tonight

Someone's got a job that needs doing. They find your number, ring it, and it rings out because you're mid rewire or under a sink. You'll see the missed call at your next tea break. They won't wait that long.

Based on the 411 Locals study of calls to small firms, only around 38% get answered live. Of the people who don't get through, 85% never ring back. They don't leave a voicemail and try again tomorrow. They ring the next name on the list, and that firm gets the job.

Most trades plan to ring missed calls back at the end of the day. The trouble is that by gone six the caller has usually sorted it with someone else, and there's a second problem most people don't think about.

When you ring back from your mobile, you are an unrecognised number. Ofcom research from February 2025 found that only a quarter of UK phone users (26%) said they were likely to pick up a call from an unrecognised UK mobile number, and two in five (42%) said they had received a suspicious call in the last three months. People have learned to let unknown numbers ring out, so your call back often lands in the same place their call did.

The best known research on this comes from Harvard Business Review. The researchers audited 2,241 US companies by sending each one a test enquiry. Only 37% responded within an hour, 23% never responded at all, and among those that did reply within 30 days the average wait was 42 hours.

In a separate study of 1.25 million enquiries at US firms, the ones that tried to get back to people within an hour were nearly seven times as likely to have a proper conversation with them as firms that waited even an hour longer, and more than 60 times as likely as firms that waited a day or more.

Those were US companies handling online enquiries, not UK trades, so don't treat the exact numbers as yours. The pattern is the useful part: interest goes cold in hours, not days, and whoever replies first gets the conversation.

A voicemail asks the caller to do the work. They have to decide to leave one, then wait and hope you ring. Most don't bother, which is why that 85% move straight on.

A text does the opposite. It arrives in their pocket a minute after they rang, it has your business name on it, and it tells them they've been heard. They can reply from the school gate or the bus without having to catch you on the phone, and the moment they reply, they've stopped looking for someone else.

Keep it short and make it sound like you. Say who you are, say sorry you missed them, and ask the two things you need to know: what the job is and whereabouts they are.

Something like: Hi, it's Dave at Smith Electrical, sorry I missed your call, I'm on a job. What do you need doing and whereabouts are you? I'll get back to you today.

Don't put a price in it, don't promise a time you can't keep, and don't send a link to a form. The point is to start a conversation, not to make them fill something in. If you're sending it by hand, send it the moment you see the missed call, not at the end of the day.
